How to read a faded receipt

Short answer: if the text is faint but the paper is still pale, you can usually read it with angled light and your phone camera, and the trick that helps most is raising contrast on the photo rather than touching the paper. If the strip has gone dark or black, the text is not coming back, and your next move is rebuilding the evidence instead. Photograph the receipt before you try anything.

Most advice on this problem is a flat list of tricks in no particular order, and several of the most commonly repeated ones will destroy the receipt. The order below runs from reversible to irreversible, and it starts with the thing you should do before anything else.

Step zero: photograph it before you touch it

Every method below either risks the paper or cannot be undone. A photograph costs you nothing and it locks in whatever is readable today, which matters because a thermal image keeps degrading in a drawer. Take the picture now, in ordinary indoor light, then experiment. If a later attempt goes wrong, you still have the earlier frame.

Which failure are you looking at?

Two opposite things are called fading, and they need opposite responses. A 1996 United States National Archives bulletin on thermal and fax paper (since expired, and retained only as a historical reference) put both in one sentence: the text is likely to fade and become illegible, or the whole paper surface may darken, making the image indistinguishable (NARA Bulletin 96-03).

In the first case the characters lose contrast against a background that stays pale, and there is usually residual signal to amplify. In the second the background gains contrast and closes the gap from the other side, which is what a hot car does. A receipt that has spent a summer on a dashboard often shows both at once. If the strip is uniformly dark with no tonal variation, stop reading here and skip to rebuilding the evidence, because there is no differential left for any technique to work with. Ask the merchant first

Before any heroics, remember that the shop still has the transaction in its point of sale system, and a reprint is a better record than anything you can rescue from the paper. Larger retailers document this: Costco, for example, provides in-warehouse receipts through its website and app for the previous two years, and for older purchases you can ask at the membership counter with photo identification (Costco customer service).

For a smaller merchant, phone and offer the details that let them find the transaction: the date, roughly what time, the store location, the last four digits of the card you used, and the approximate total. This takes ten minutes and works far more often than people expect.

What actually works: light, then contrast

Everything in this section is reversible. None of it changes the paper.

1. Raking light

Put the receipt on a flat surface and bring a lamp or a second phone's torch down until the light is almost parallel with the paper, then photograph from directly above. This is a standard documentation technique in conservation, where it is used to reveal surface texture and relief that flat lighting hides (Library of Congress). Thermal printing melts the coating where it prints, so the printed areas can sit differently to the light than the blank paper around them. Rotate the receipt and try the light from several directions, because the effect is strongly angle dependent.

2. Light through the paper

Receipt stock is thin. Set a second phone to a blank white screen at full brightness, lay the receipt on top of it, and photograph from the front. The coating and the paper transmit light differently, and text that has almost no reflective contrast left can reappear as a darker shape against the glow.

3. Push the contrast on the photo, not the paper

This is the step that recovers the most, and it happens entirely in software. Open your photo, then pull Exposure down and Contrast up, and work Highlights, Shadows and Black Point until the faint marks separate from the background. Take several versions at different settings rather than hunting for one perfect edit, since different parts of the receipt often come good at different settings.

Viewing the image inverted helps too, because faint grey text against near white is hard for our eyes, while the same information as light-on-dark is easier to separate. One honest correction to advice you will find elsewhere, including in an earlier version of our own guide: the iPhone Photos editor has no invert filter. The built-in route is the accessibility setting, at Settings, then Accessibility, then Display & Text Size, then Classic Invert, which inverts the whole display while you look at the picture (Apple support). Turn it off afterwards.

4. A photocopier on its darkest setting

Worth one try, because a copier exaggerates whatever contrast survives. Be aware that archives recommend copying thermal documents as a preservation step while they are still legible, not as a recovery method after the fact (The National Archives, UK). Do not expect it to rescue a receipt that light and contrast could not.

Why heat makes it worse

Warming the paper is the single most repeated suggestion online, and it is the one most likely to cost you the receipt.

A thermal receipt carries no ink. It carries a coating holding a colourless dye and an acidic developer, plus in many papers a third ingredient that lowers the temperature at which the two react. The United States Environmental Protection Agency describes direct thermal printing as producing an image by selectively heating specific areas of the paper (EPA, Bisphenol A Alternatives in Thermal Paper). Selectively is the operative word. A print head heats the spots it wants dark and leaves the rest cool.

A hair dryer, an iron, a lamp or a dashboard has no selectivity at all. It heats the printed characters and the empty background by the same amount, so whatever contrast survives is flattened rather than sharpened, and the reaction cannot be run backwards. Overshoot and you get an even black strip with nothing left to read. That is why heat belongs on the do-not list rather than in the toolkit.

The same logic rules out a laminator, which applies exactly the heat that develops the coating, and household solvents and abrasives, which attack the coating that is holding your text.

The professional tier, and why it rarely makes sense

Recovery of text from faded thermal paper has genuinely been demonstrated in forensic settings, using laboratory imaging equipment and chemical techniques such as iodine fuming (Forensic Science International). This is real work done by questioned document examiners. It is also not a home procedure: the chemistry involved is hazardous, it can permanently alter a document you may need as proof, and for a single receipt the examiner's fee will almost always exceed the value of the deduction you are trying to protect. Worth knowing it exists. Rarely worth doing.

If it cannot be read, rebuild the evidence

An unreadable receipt is not the end of the claim. It becomes a question of assembling the same facts from other records, and it helps to know exactly which facts have to survive.

The CRA's business records guidance says an expense record should show the date of the purchase, the name and address of the seller or supplier, the name and address of the buyer, and the full description of the goods or services (CRA, Business records).

If you are registered for GST/HST and claiming input tax credits, the bar is more specific, and it scales with the size of the purchase. A lot of older advice still quotes thresholds of thirty and one hundred and fifty dollars. Those figures are out of date. The current tiers, in the Input Tax Credit Information (GST/HST) Regulations and in the CRA's own guide for registrants, are:

  • Under $100: the supplier's business or trading name, the date, and the total amount paid or payable.
  • $100 to $499.99: the above, plus the supplier's GST/HST registration number and an indication of the tax charged.
  • $500 or more: the above, plus the buyer's name, the terms of payment, and a description sufficient to identify what was bought.

Read the practical consequence. On a small purchase, the information you need is thin enough that a card statement line plus a note made at the time can often carry it. On a larger one, the supplier's registration number has to come from somewhere, and a statement will not have it, so a reprint from the merchant becomes the realistic route.

Do not lean on the statement alone if tax credits are involved. GST/HST Memorandum 8.4 states plainly that a monthly credit card statement does not constitute sufficient documentary evidence to claim an input tax credit, and must be supported by another document such as a credit card receipt or an invoice (CRA, Memorandum 8.4).

If you do recover it, keep the paper anyway

This is the instruction nobody gives. The CRA's electronic record keeping circular requires imaged records to be of commercial quality and to be legible and readable, and permits disposing of the paper source document only where the imaging meets the national standard (CRA, IC05-1R1). A photo you had to fight for is often only marginally readable. If that is what you have, file the image and keep the original as well, rather than recycling the one piece of evidence you cannot regenerate. When to stop

Stop when the strip is uniformly dark with no tonal variation, or uniformly blank with no ghosting under either raking light or light through the paper. At that point there is no differential signal left to amplify, and further attempts only risk what remains. Take the ten minutes you would have spent on another trick and spend it phoning the merchant instead.

The takeaway

Faint text is an imaging problem and usually solvable with light and contrast. A darkened strip is a chemistry problem and is not solvable at all. Heat does not recover receipts, it finishes them. And the receipt you never have to rescue is the one you photographed the day you got it, which is the whole argument for capturing at the counter rather than at tax time.

Common questions

Can you restore a faded receipt?

Not in the sense of putting the ink back, because a thermal receipt has no ink to put back. What you can often do is read text that is still faintly present, using angled light, a bright screen behind the paper, and contrast adjustment on the photo. If the strip has darkened to a uniform grey or black, the coating has already reacted and there is nothing left to recover.

Does heating a faded receipt with a hair dryer bring the text back?

No, and it usually makes things worse. A print head works by heating chosen spots and leaving the rest cool. A hair dryer, an iron or a lamp heats the printed characters and the blank background equally, so surviving contrast gets flattened rather than sharpened. The change cannot be undone, and overshooting leaves a uniformly dark strip with no text at all.

Is a credit card statement enough if the receipt is unreadable?

For a business expense deduction it is supporting evidence but usually not sufficient on its own, because a statement shows a merchant name, a date and a total, and nothing else. For GST/HST input tax credits the CRA is explicit: GST/HST Memorandum 8.4 says a monthly credit card statement does not constitute sufficient documentary evidence to claim an input tax credit, and must be supported by another document such as a credit card receipt or an invoice.

Can I throw out the paper once I have photographed the faded receipt?

Can a lab recover a completely faded thermal receipt?
